A growing global Fintech event brand is launching a new edition in China and is looking for a team member to help handle our customers’ questions. The delegate liaison is a critical first friendly voice/face to engage with our clients and handle daily delegate registrations management. This candidate will then carry this premium-level customer service through our onsite event execution. The selected individual will work closely with the rest of the event operations team day-to-day to accomplish the following:
  • Smooth registration purchasing process for our delegates.
  • Answering any and all customer queries by monitoring team phone and email.
  • Provide database support, managing data input and running event reports.
  • Updating and reporting our delegate sales to leadership team.
  • Other responsibilities to support the event planning team as needed.

About the role
We're looking for a Clina Delegate Liaison Executive  to join our team in Paddington. Your key responsibilities will include:

  • Working alongside the marketing, content and sales teams to ensure the event achieves its goals and targets for attendance
  • Answering general event queries on inbound calls and emails
  • Auditing registration database to ensure there are no duplicate entries, incorrect use of special rates or incorrect registration fees applied
  • Ensuring payments are processed efficiently and quickly by coding and raising POs, sending invoices to Accounts Payable and acting as a point of contact for any inbound payments queries and issues
  • Overseeing and tracking allocations of discount codes and specialty rates for startups, retailers, government, press/media, speaker and sponsor event passes
  • Ensuring all staff and vendors are registered prior to the event
  • Organize team travel arrangements and other administrative support tasks where required for launch event
  • Providing onsite registration and check-in management
Your experience

  • Fluent in English and native Mandarin – excellent verbal and written communication skills. Additional languages preferred
  • Degree-level education or equivalent
  • Previous customer service/client-facing experience; event organization experience preferred
  • Database experience is essential. Excel proficiency in pivot tables, macros, ability to quickly extract specific subsets of our delegate database for both internal and external requests.
  • Must be willing to travel around China and potentially abroad
